Somewhere in our company there is an answer to almost every technical question we’ve ever solved.
How did we implement a particular financial formula? Why was a business rule changed five years ago? Which ticket introduced this feature? Why was a certain design decision made?
The information isn’t lost. It’s sitting in specifications, project documentation, support tickets, emails, and meeting notes collected over more than 25 years of software development.
The challenge isn’t having the information.
The challenge is finding it when you need it.
So we decided to make all of our company knowledge searchable with AI.
Not because AI is the latest trend, but because we wanted every member of our team to be able to find the right answer in seconds instead of spending half an hour searching through folders, documents, and ticket history.
Building an assistant for ourselves
Like many software companies, we’ve accumulated thousands of documents over the years. Functional specifications, technical designs, user manuals, implementation notes, support tickets, and countless discussions that explain why a feature works the way it does.
Every one of them contains valuable knowledge.
Until now, finding that knowledge often depended on knowing where to look—or who to ask.
Our internal AI Assistant changes that.
It combines our project documentation and ticket history into a single knowledge base that can be searched using natural language.
Instead of browsing folders or reading dozens of tickets, we simply ask a question.
For example:
- How was the IRR calculation implemented in the CUBE project?
- How does the ALTA lineup checker handle the sandbagging rule?
- When was this feature last modified?
The assistant searches the available documentation, identifies the most relevant sources, and generates an answer based on the actual project information—not on assumptions. Even better, every answer includes references to the original documents or tickets, making it easy to verify the information or explore it in more detail.
That transparency was important to us. AI should help people find information, not ask them to blindly trust its answers.
More than a productivity tool
One of the biggest advantages of working with a long-term software partner is continuity.
Projects evolve. Teams change. New developers join. Business requirements change over time.
The knowledge behind those decisions shouldn’t depend on the memory of a single person.
Making that knowledge searchable means anyone on the team can quickly understand how a system works and why certain decisions were made years earlier. It helps us support long-term clients more effectively and keeps valuable project knowledge inside the company rather than inside individual inboxes or memories.
Could this work for your organization?
Absolutely.
Every organization builds knowledge over time. It may be stored in documentation, internal procedures, contracts, knowledge base articles, support tickets, or simply years of accumulated project files.
The technology behind our AI Assistant isn’t limited to software development. The same approach can help engineering companies, consulting firms, financial organizations, healthcare providers, legal teams, manufacturers—any business where people regularly spend time searching for information that already exists somewhere.
The documents don’t need to change. AI simply provides a faster and more natural way to access them.
Looking ahead
Building this assistant started as an internal initiative.
Along the way, we learned a great deal about what makes an AI knowledge assistant genuinely useful—not just impressive in a demo. The challenge isn’t connecting an AI model to your documents. The real work is making sure it finds the right information, provides reliable answers, and always points back to the original source.
Today, our team uses this assistant every day.
Tomorrow, we may be building one for our clients.
If your organization has years of valuable knowledge hidden in documents, support systems, or internal databases, we’d be happy to discuss how a similar AI Assistant could help your team find answers faster and make better use of the knowledge you already have.
